Getting paid on time isn’t the flashiest part of running a business — but it is one of the most important.
I’ve seen it over and over again:
A client starts out excited, engaged, and ready to work with you… but a few weeks in, payments start getting delayed — or worse, they stop altogether.
So how do you make sure your clients always pay you?
It actually starts long before the invoice ever goes out.
1. Vet Your Clients (and Trust Your Gut)
Before you sign on a new client, pay attention to how they show up during the sales process.
Do they:
- Negotiate every little thing?
- Delay their responses?
- Have a million “what ifs” about your terms?
- Resist or question your policies?
Those are red flags.
And the truth is, the red flags you see in the beginning rarely disappear — they usually intensify.
I’ve seen too many coaches ignore that earlier discomfort, only to deal with:
- boundary-pushing
- lack of communication
- delayed payments
- clients ghosting their commitments
You don’t need to work with everyone.
Hold yourself — and your business — to a high standard, and you’ll thank yourself later.
2. Set Crystal-Clear Payment Terms in Your Contract
Once you’ve decided someone is a good fit, your contract should spell out exactly how and when you get paid — and what happens if payments are missed.
Here are a few must-have clauses:
✓ Payment Schedule
When each payment is due, how it’s collected, how many installments there are, and when services begin.
✓ Refund or Return Policy
Whether refunds are allowed (and if so, under what specific conditions).
This alone prevents confusion and protects your time and your income.
✓ Late Payment Policy
What happens if a payment fails or is delayed — such as:
- late fees
- paused services
- termination of the agreement
If you aren’t 100% sure your contract includes all of these, you can find them inside the Coach’s QuickStart Bundle — with plug-and-play contracts for:

3. Handle Missed Payments Like a Pro
Even when you have solid clients and great systems, things still happen.
Sometimes:
- cards expire
- billing info changes
- a client simply forgets
Don’t panic — and don’t take it personally.
A simple invoice reminder or quick email is often all that’s needed.
If it becomes a consistent pattern, that’s when you revisit the relationship — not before.
Protecting Your Business Isn’t Just About Getting Clients… It’s About Getting Paid
A sustainable coaching business isn’t built on nonstop client attraction — it’s built on clear systems that ensure you’re paid fairly and consistently for your work.
